MINUTES OF THE SECOND MEETING OF THE BOARD OF DIRECTORS OF ROTARY CLUB OF POONA HELD ON FRIDAY, 12TH August 2022 AT MANISHA, 27-a MOLEDINA ROAD PUNE 411001
Present : President Maithili Manakwad, Vice President Gen. Amar Krishna., PhD., Hon. Treasurer Zarir Dadachanji, Hon. Jt Secretary Paramjit Pabby, IPP Col. 1. Meeting was called to order by president at 6.30 pm with welcome of members. Hon. Jt Secy was requested to note the minutes of the meeting as Hon Secretary was indisposed.
2. Minutes of the First BoD of July 2022 held at Manisha and the Special Meeting of BoD dated 8th August 2022 held at Poona Club Ltd., were read and confirmed without any amendment. The resolution adopting the minutes was proposed by PDG Vivek and seconded by Rtn Zarir having been present for both BoD Meetings.
3. Monthly Attendance was reviewed with satisfaction. Presence of 135 members at the installation meeting at RcBc Pune on 4th July , 54 members at the 2nd weekly meeting on 11th July, 63 members at the 3rd weekly meeting on 18th July and 78 members at the 4th meeting of 25th July 2022 was noted . August Meetings of Program committee on 1st August and 8th August were encouraging , with 61 and 67 attending respectively. Program Chair Rtn Ramgopal and Jt Secretary Rtn Paramjit were both congratulated for making good attendance possible . Media coverage provided at installation meetings and other weekly meetings with help of PDG Vivek was appreciated. It was hoped that members will come forward to host Fireside meetings. Hon Teasurer Zarir informed that he will host dinner on 22nd August to celebrate his wife R’Ann Dilshad’s birthday. This was highly appreciated by members present.
4. Leave Notes/ Resignations/ Deaths – BoD decided to request Rtn Collin Louzado to send the letter condoling the demise of PP Krishna Mathur and thanking family members of R’Ann Praveena for attending the Condolence meeting held in memory of Late Col. PP Krishna Mathur.
5. New Proposals Recieved- Sgt At Arms- Rtn Jaideep Parekh has submitted membership proposal of Air Commodore Tilloo (retd) residing in Deccan Gymkhana area. He has attended three weekly meetings and BoD decided to send the proposal to Chair- Rotary Information PP Ravi Gosavi to be reviewed by Classification and Membership Committees.After receipt of the proposal from them, the date for giving Rotary Information shall be communicated to Proposer Rtn Jaideep to attend the session along with the proposed candidate.
6. To review weekly programs of August -September 2022- Vice President and Club Service Director informed that the meetings will be as follows-
30-09-22: IPDG Pankaj Shah will speak on “Satellite Clubs” (ZOOM)
5-9-22 : Teachers Day Celebrations
30-09 : Fund Raising program- Dandiya at the Poona Club, Cinema Hall
BoD decided that as per suggestions and advice received from our auditor and tax experts, Donation Passes will be issued to donors . All donations will be received in the Corpus of the Rotary Club of Poona Charity Trust as indicated by Hon. Treasurer Zarir. There will be no sale of tickets and there will be no commercial activity. All donations will be strictly used after necessary expenses towards the objects of the Trust alone. A separate ledger account for the purpose will be maintained and account shall be audited by internal as well as external auditors.
Rtn. Col. Kohli will be incharge of internal security and shall direct staff to restrain non-invittees at the entrance. Rtn Jyotindra Zaveri, president of Rotary Club of Pune Camp will be invited to the function to provide assistance. After the event is over at 10 PM, the organizers shall be provided refreshments.
7. It was suggested that written advice be obtained from tax experts in matters of applicability of GST and Income Tax and the same shall be reported by Hon. Treasurer in the next BoD.
8. It was suggested that Service Directors follow set procedures strictly namely the Budget approved for 2022-23 should not be exceeded while formulating financial plans of projects. Hon Treasurer has requested Service Directors to arrange for finance internally in case the project budget exceeds the budgeted estimates. This was accepted by Directors of Club, Vocation, Community, Youth and International Services.
9. VOCATION SERVICE- Director Manohar reported that in October 2022 a vocational visit is planned. Details will be provided in September meeting of BoD
10. YOUTH SERVICE – Director Vaijayanti reported that on 10th August a program of patriotic songs was organised at Old YMCA Hall for Interact Schools. BoD thanked PDG Vivek for his help and guidance to make this a success. On 11th August Director a program under Youth by rotaractors tying rachis to soldiers was successfully conducted.Director reported that PP Dipak thacker had agreed to execute a program at Metro Station as a project under Public Image with assistance of Inner Wheel Club, Youth Service and Club Service, on 15th August 2022 from 5 pm onwards.
11.COMMUNITY SERVICE – Director Aarti Thacker reported Raksha Bandhan was celebrated as a joint program with Youth . Rotaractor girls tied rachis to soldiers. As last year, help was provided by Col. Kohli and IPP Bharat in obtaining permissions. 3 projects were completed in July – August as under :
Shivarkar Hospital ……1] Visit and handing over by president Maithili a “Baby Warmer” at the hands of Dr Pratibha Kapadiya.2] Synergy Project with Gurdwara …Blood Donation Camp. 3] Raksha Bandhan by Rotaractors.
Approval Requested :A) Cantonment Hospital Request for providing equipment …. Rs. 98,000. B) Baby Warmers to PMC Kamla Nehru Hospital…. Rs34,000 C) Vocational Training to underprivileged girls at Gyan Prabodhini in making solar panels .. Rs25,000
Suggestions – PDG Vivek suggested donating Papad Making machine to self help group of women in Ghera Panvadi Village.
Sponsorship requested from members to supply “Happy Family Kits” @ 3500 per kit . BoD suggested that for both above suggestions, Directors should urge the beneficiaries to submit a detailed proposal for consideration.
12.INTERNATIONAL SERVICE- Director col Kohli reported that PP Jamshed Khursigara as Chair- International Exchange was exploring possibility of exchange with Rotary Club in Birmingham and New Zealand
He reported that with Rc Pune NIBM he was discussing possibility of a global Grants Projects with help from Poonawala Foundation in “supply of clean drinking water” in rural schools.
13. Hon Treasurer’s report : 1. Invoices sent to members for dues 2. Status of expenses incurred was discussed 3. Directors be guided by principles of optimum benefit to community 4. Voluntary Pooling of cars to help senior Rotarians to attend meetings will be reported to general body.
14. GML : GML was read and contents noted.
15. Any Other Point with permission of Chair:
IPP Bhrat reported that he had received from the Printer an estimate for Members Roster which would cost Rs85 per copy . Minimum 50 copies to be ordered.
16. NEXT MEETING : 3rd Regular BoD meeting will be held on 13th September 2022
