Minutes of Meeting MINUTES OF THE NOVEMBER BOARD MEETING HELD AT MANISHA TERRACES, ON 11TH NOVEMBER 2022 AT 6.30 PM ( SEE AGENDA ABOVE ) PRESENT : President Maithili, Secretary Sanjay,IPP Bharat, D W/P PDG Vivek, Treasurer Zarir, Vice President Gen. Amar, Director Community Aarti, Director Vocational Manohar, Director Youth Vaijayantii. Leave of Absence : Director Col. Kohli,P.Elect NPS Bakshi , Jt Secy Paramjit and Sgt At Arms Jaideep. MINUTES OF THE MEETING : 1. Meeting called to order at 6.30 pm 2. Minutes of the previous meeting held on 7th October were read and confirmed by PDG Vivek, seconded by Rtn Vaijayanti 3. Points arising out of Minutes of the previous meeting of BoD held on 7th Oct. 22 It was found on inspection that CPU was not required to be replaced. IPP Bharat certified that some repairs were required and he would do the needful in due course. 4. Attendance for October 2022: Was found to be extremely positive and the change brought about by introducing mini fellowships was paying ample dividends. President and Vice President were congratulated for good attendance 5. Leave Notes / Resignations : Rtn Mahendra Shah, a member of long standing has tendered his resignation to Vice President Gen. Amar Krishna. He and spouse Ila were both not in good health and his letter was accepted with regret. Vice President was requested to write a formal letter to resigning member with wishes to both Mahendra and Ila to recoup and attain good health. 6. New Proposal : Form of proposal duly filled and signed by proposer of Rtn Dhananjay Pandit of Dr Mrs Kelkar was circulated among the Board Members.It was decided that the same be sent to Rtn Dipak Thacker for membership scrutiny and thence to the Classification Committee. If procedure is completed in time, Rotary Information may be imparted by next week and a Notice of ten days issued so that induction may take place on 2nd January 2023. 7. Reports of Directors : Director Club Service, Vice President Gen. Amar submitted his report on weekly meetings and speakers. Members were satisfied with the quality of speakers invited in October and November 2022. He informed that NC elections are scheduled on 21st November 2022 and IPP Bharat will organize e-voting via smartphones. President has nominated Rtn Jamshed Khursigara as the presiding officer. Suman and Pramod Shringarpure will host fellowship and dinner. On 28th November the meeting will be conducted on Zoom and the topic will be “Good Health- Good Wealth. The speaker will be Renu Gupta. On 5th December 22, Rtns Bharat and Mansur will jointly host dinner at Poona Club. On 11th Dec. , Brig Apte has organised a Vocational Visit to NDA and this will also be our weekly meeting, preponed by one day. There will be no meeting, consequently on Monday, 12th December 2022. On 19th December, the women car rally report shall be presented by 8 participating ladies of the club upon their return. The Annual Meeting shall be held on 26th December 2022. Monday, 2nd January 2023 the weekly meeting shall be devoted to Christmas and New Year hosted by Rtn Ramgopal Rao. 8. Community Service : (a)Director Aarti Thacker mentioned that Rtn Hasmukh Patel has donated Rs20,000 for upliftment of Adivasis.A school in Mulshi requires clean drinking water and for this purpose a pipe is required to be laid. Estimated cost Rs80,000. This was approved on condition that the Director organize a team to visit and submit the report in the next Board Meeting. (b) PDG Vivek objected to project ASMITA by host club Rc Bibvevadi in which our club made a substantial investment but found no mention in GML. He mentioned that our club should be a lead club whenever we make a sizeable investment. He also objected to the manner in which the Wheel Chair was presented in our club meeting wherein no credit was given to Rotary Club of Poona. (c) Rtn Treasurer Zarir suggested that we should send projects report to GML and Rotary News . (d) Director Aarti reported that Rtn Niamat Virji through NGO “Prayas” will conduct Cancer check up of women and girls belonging to weker sections. Project Cost- Nil . Board Approved this proposal (e) Tara Mobile Creche for children of labourers at construction sites for “Manavya” NGO was approved. Cost Rs. 20,000 (f) Rtn Dr Pratibha Katariya under “woman and Child” will organize Baby Blankets for Sassoon Hospital’s Baby ward. Inner Wheel Club will provide rs 15,000.Cost Rs. 10,000 to our club was approved by the Board. (g) Dnyan prabodhini project of teaching girls the art of making solar lamps has been initiated and six lamps were purchased, three each by President and Secretary. (h) PDG Vivek agreed to speak to President of Rc Rajgurunagar for the solar lamp project jointly with that club for providing 300 solar lamps to labourers working on sugar cane farms. (i) Rtn Prem Prakash from Rc Stavenger has requested to see the state of toilets donated with that club’s help in remote areas in Pune District. President Maithili will assist in the visit. Director- Vocational Adv. Manohar Jagdale has organised a Vocational Visit with help from Brig. Ajit Apte. This will be combined with a rotary meeting there. It will be a full one day program. Vocation Service Award- Has been finalized and Dr Vohra of Trauma Centre, Ruby Hall shall be the awardee in a weekly meeting in January 23 Director Youth : Rtn Vaijayanti has planned along with Community Services with an NGO a project to donate one two wheeler, used or otherwise. She was requested to check if Rtn Hasmukh Patel has his proposal in place to donate his old two wheeler . He had offered his two wheeler to the club but the beneficiary did not show up. Rtn Vaijayanti has discussed with Brig. Apte the possibility of sending 200 children to witness the pre- Passing Out Parade . This is a District Project and our contribution shall be Rs10,000. This proposal was accepted by the Board. On 17-12-2022, Quiz Competition for students on “Nature and Environment” has been organised at YMCA Hall. 30% children participating will be from PMC schools belonging to 5th, 6th and 7th Std. Our Club will pay for the Hall and snacks to the participating children and accompanying teachers. This was accepted by the Board. Savak Masani Trophy competition will be organised on 21st January 2023 and “Folk Dance Competition” will be organised on 28th January 2023 Hon Treasurer Reports : Following Rotarians have not paid their dues for first six months : Shehnaz janjali, Mira Damani, Vasant Kanitkar, Jatindar Singh and Anil Hatkar. Treasurer shall send polite e mail as a gentle reminder. Treasurer submitted report of income and expenditure for two projects concluded. 1. Dandiya 2. Sevarth. He also mentioned that out of Rs75,000 sanctioned, Rs 61,000 was spent on Diwali dinner, leaving 11,000 surplus and suggested that this may be replicated by others organizing festive dinners. GST : The matter will be finally discussed with other experts as no legal expert is willing to authoritatively opine in writing. A water filter for Manisha office was sanctioned. Contents of GML : were read. Report on “Asmita” totally missed out the name of Rc Poona ANY OTHER POINT : with permission of Chair : Following resolution was approved : It is hereby unanimously resolved on 11th November 2022 in the Board Meeting at Manisha Terraces office , by members present and voting, that upon the request of a large number of Rotarians the regular weekly meetings of the club at Poona Club Ltd., on Mondays be held as under : Fellowship time : 7 PM to 7.30 PM Regular Meeting : 7.30 to 8.30 PM The timings will be on trial basis and temporary to be effective from 1st January 2023 and upto 30th June 2023. Accordingly, the District Governor shall be intimated so that the GML may publish the timings for the benefit of visiting Rotarians.
